AdvancedInsight (PM)
We have increased the data available for you to add to your custom reports in the latest
version of AdvancedInsight.
There are two new metrics data sets that contain the same aging fields as other balance
metrics.
- Metrics – Insurance Balance Aging
- Metrics – Patient Balance Aging
You are now able to add payment Applied dates to your reports using the Dates – Applied
and Dates – Applied Dynamic data sets. The applied date fields are:
- Applied Date
- Applied Month
- Applied Quarter
- Applied Week of Year
- Applied Year
- Applied Year and Month
- Applied Year and Quarter
For all dynamic date sets, there are new ranges available:
- Last 45 Days
- Last 60 Days
- Last 90 Days
- Last 120 Days
- Last 6 Months
We have also added the fields listed to three data sets:
- Patient – Patient Status AsofDate, Patient Status Code, and Patient Status
Desription - Batch – Batch Owner and Batch Deposit Date
- Provider – Provider Type
Dashboard (EHR)
We have removed the Reviewed status from the Dashboard Worklist so it is easier to see the
Reviewed by information.
Patient Chart (EHR)
Telemedicine
We have added the Telemedicine icon to the new patient chart so you can now easily
access Telemedicine appointments.
Scheduler (PM)
Make Appointment
On the Make Appointment screen, you can now record if an electronic summary of care
document was available for patients referred to you.
- Click the Transition of Care icon. The Transition of Care check box will
automatically be selected. - Indicate with the Requested Summary of Care radio buttons if you received a
CDA or not. - Click the Transition of Care icon again to close the popup
Notes:
- Use the Appointment Types master file to designate appointment types that are
always Transition of Care appointments and eliminate the need to set this manually.- If you track Meaningful Use measures for transition of care, you should also track if you
receive a CDA from the referring provider. Selecting a CDA status is optional. The
appointment is still marked as a transition of care instance unless you clear the check
box, but no CDA data will be available for Meaningful Use calculations.
Billing (PM)
Automatic Disbursal of Unapplied Payments
You can now automatically disburse unapplied patient payments to open patient balances
using the new Automatic Disbursal Unapplied Payments Rules.
Select payment rules to direct how unapplied payments are applied at the visit and account
level. The payments are automatically disbursed overnight so it will not interfere with your
workflow.
The Automatic Disbursal Unapplied Payments Rules will be released in stages in the
next several months.
Important Note: You cannot automatically undo the nightly disbursement process. You must manually undo each disbursal.
You must have the Change Financials role privilege to set up Automatic Disbursal
Unapplied Payments Rules.
Rules for Unapplied Payments associated with a visit
- Apply all visit to visit when providers match – Applies payments to visits where the provider listed on the visit copay matches the provider listed on the charges for the visit.
- Apply all visit to visit when providers don’t match – Applies payments to visits where the provider listed on the visit copay does not match the provider listed on the charges for the visit.
- Apply remaining visit unapplied money oldest to newest – Applies payments to all visits with open balances, starting with the visit with the oldest date. The date is taken from the Age Date field on the Charge Detail screen.
Rules for unapplied payments on an account level
- Apply account level money matching to DOS (Date of service) – the payment must be entered on the date of service for this rule to apply.
- Apply account level money oldest to newest – the date is taken from the Age Date field on the Charge Detail screen.
Run Nightly – you must select Run Nightly, or no money will be disbursed.
Last Run – displays the last time and date the disbursal was run.
Unapplied money at a visit level will only be disbursed by visit level rules, and unapplied
money at an account level will only be disbursed by account level rules. But the Apply
account level money oldest to newest account level rule will disburse account level
money to visits.
Notes:
- The default settings for the Automatic Disbursal Unapplied Payments Rules have
the two following rules selected:
- Apply all visit to visit when providers match.
- Apply account level money oldest to newest.
Run nightly is not selected by default.
- The Automatic Disbursal Unapplied Payments Rules does not disburse insurance
payments.- Unapplied patient payments are never applied to insurance balances.
Set up Auto Disbursal Payment Rules
You can select one or more payment rules and use visit and account level rules together.
When the disbursal process runs, rules are applied to patient accounts from the top of the list
down.
Go to Billing | Unapplied Payment | Auto Disbursal Unapplied Payment Rules.
- Select payment rules.
- Select Run Nightly.
- Click Save.
Unapplied Payments Auto Disbursed Report
Use the Unapplied Payments Auto Disbursed report to monitor payment disbursement.
Go to Reports | Financial Totals | Unapplied Payments Auto Disbursed.

Front Office (Mobile)
We are excited to announce the following updates to the Front Office app:
- Added ability to reset your password from the app.
- Added new search options in the pharmacy picker.
- Removed the PIN screen to unlock the app.
Reset Password
You can now set up security questions and add your email address to the system in the Front
Office app, just as you can in PM and EHR. This information is used to verify your identity
when resetting your password.
Reset your password using the app by tapping Forgot Password on the Login screen.
New Search Options in Pharmacy Picker
We have updated the pharmacy picker and added the following search fields:
- Address
- City
- Phone number
Removed PIN Screen
PIN functionality has been removed. You can now enter your password to unlock the app.
The app also respects the amount of time selected in the Idle Time Before Automatic
Logout system default. If the app is idle for the amount of time selected, the app locks and
you will be prompted to re-enter your password.
ePayments (PM)
Summary
Welcome to ePayments™. ePayments is an add-on feature that improves the patient payment
experience and saves your office time and money. There are five main components of
ePayments:
- ePayments enhancements in the Patient Portal
- Patient Statement Reminders
- Paperless Only Billing
- Patient Billing Workflow Enhancements
- Online Statement Usage Report and additional report enhancements
To get the most from ePayments, it is recommended you incorporate the following
information into your registration process:
- Collecting and verifying email addresses and cell phone numbers
- Encouraging responsible parties to register for a patient portal account
Important Note: If your practice uses our integrated card processing through OpenEdge,
your system defaults will already be configured to use the ePayment module in the Patient
Portal and on the stand-alone Pay My Bill screen. If your practice does not use integrated
credit card processing, responsible parties will receive statement reminders but will be
unable to make online payments
ePayments Enhancements in the Patient Portal
ePayments enhancements in the patient portal include the following updates:
- Updated Pay My Bill screen including:
- Break-down of statements for all patients associated with the portal account
- Pay Now options: Total Balance, Statement Balance, Payment Plan Balance, Custom Amount
- View Current and Past Statements
- Payment History screen
- Stand-alone Pay My Bill screen for online payments outside of the Patient Portal
- Payment code (#PTPORTAL) for payments made through the ePayments module
Log in to the Patient Portal | Click the Bills icon.
New Pay My Bill Screen
The new Pay My Bill screen for ePayments in the patient portal is a robust and detailed
screen where responsible parties can view statement details for all patients under their
account. From this screen, responsible parties can view current and past statements, and pay
their total balance, statement balance, payment plan balance, or pay a custom amount.
Note: The balance due totals for all the options below are compiled from all patient charges
associated with the responsible party.
- Total Balance – Includes charges received since the last statement, in addition to any
payment plan balance. - Statement Balance – Includes charges from the latest statement.
- Other Amount – Responsible parties can enter a custom amount to pay towards their
Total Balance, or the Payment Plan Balance. - Payment Plan Balance – Amount due for the current payment plan. This option only
displays if the responsible party is set up on a payment plan.
Payment Details in Patient Portal
Patients can also view their past payments from the Payment History screen in the patient
portal. The Payment History screen details past payment transactions and a receipt
download link. The Payment History screen will update after every payment is processed in
the office.
Stand-alone Pay My Bill Screen
The new stand-alone Pay My Bill screen is available for responsible parties who are not
logged in to their Patient Portal accounts, or who do not have Patient Portal accounts. From
the stand-alone Pay My Bill screen, responsible parties can view their balance and pay their
bill, or create a portal account/log in to the Patient Portal.
New Patient Portal Payment Code
The new payment code, #PTPORTAL, will identify online payments made through
ePayments. This code displays in financial history screens, and has been added to the
Payment Codes master file.
Patient Statement Reminders
As part of the ePayments feature, statement reminders are automatically sent to responsible
parties with email addresses and cell phone numbers. If both text and email are selected in
the Patient Messaging Preferences screen, statement reminders will be sent via text first.
If there is no confirmed response after 60 minutes, then an email statement reminder will be
sent.
As part of the patient statement reminders enhancement, we have made additions to the
following screens:
- Messaging History screen

Click the Patient icon | Select a patient | Click the Patient Messaging

Log in to the Patient Portal | Click the Messages icon | Click Messaging

Notes:
- If a responsible party does not want to receive statement reminders, they can create or
log in to the Patient Portal and clear the Online Statements check box in Messaging
Preferences, or work with your office to change their messaging preferences.- Changes made to messaging preferences in the Patient Portal will reflect in PM and vice
versa.
Messaging History
We have added Online Statements to the Message Category in the Messaging History
screen to indicate responsible parties who were sent statement reminder.

We have added a new option, Online Statements in Portal, to the Patient Messaging
Preferences screen.
Messaging Preferences in the Patient Portal
We have added a new option, Online Statements, in the Messaging Preferences screen
in the Patient Portal.
Paperless Only Billing
As part of ePayments, you can turn on Paperless Only billing for responsible parties.
Responsible parties set to Paperless Only billing will receive statement reminders and can
view their statement in the Patient Portal.
Notes:
- Paperless statements are automatically processed for eligible responsible parties when
you run the Patient Billing Wizard.- If an account holder selects only paperless billing from the Patient Portal, that change
will reflect in their PM account, and vice versa.
Responsible parties can be set to Paperless Only billing two ways:
- In the Responsible Party tab in Patient Demographics
- In the Patient Portal from the Pay My Bill screen

As part of the ePayments feature, we have enhanced the following patient billing workflow

Patient Billing Wizard
We have added the text “& Online” to all Statement Format lines to indicate statements
will also be available online in the Patient Portal.
Patient Billing Wizard – Results
We have added a Statements – Paperless Only category to the Processed Billing
Formats column in the Patient Billing Wizard – Results screen to identify how many
paperless statements were included in the statement run.
Patient Billing Wizard – Statements
As part of the ePayments™ release, you can now use the new Paperless column in the
Patient Billing Wizard – Preview screen to identify responsible parties that are scheduled
to receive paperless statements. You can also use the new Contact column to view
responsible party contact information.
Note: The Paperless column is historical. If you discontinue online statements, the
Paperless column continues to display for your records.
Patient Billing History
We have added a Paperless column to the Patient Billing History screen to indicate the
number of paperless statements sent in a statement run.
Reports
We have added a new report and updated two existing reports as part of ePayment feature
changes:
- New Online Statements Usage report
- Statements Summary report
- Patient Billing Summary report
Go to Reports | Report Center.
New Online Statements Usage Report
Use the new Online Statements Usage report as needed to track the efficiency of patient
statement reminders and the number of associated online payments made within a date
range.
Statements Summary Report
We have added Statements – Paperless Only as a Processed Billing Format on the
Statements Summary report.
Patient Billing Summary Report
We have added Statements – Paperless Only as an Action/Output on the Patient
Billing Summary report.
