Automated Messaging and Reminders
You can now send email, text, and voice reminders in Spanish by selecting the new Spanish Language Option in the Automated Messaging & Reminders master file. Spanish versions of appointment reminders will automatically be sent for patients that have Spanish set as their Preferred Language on the Patient Information screen. Create Spanish-language Reminders:

Go to Master Files | Templates | Automated Messaging & Reminders.

Note: If you have Spanish templates enabled, but did not fill out the body, reminders will automatically send the English template

Billing (PM)

Exclude Occurrence Code 28 Carrier Custom Claim Field
We have added a new carrier level custom claim field, Exclude Occurrence Code 28. This custom claim field is used to exclude occurrence code 28 (the Plan Create Date from the Episode) at the carrier level on institutional claims.

This update prevents denials that occur on institutional claims when the Plan Create Date is on a claim with a Facility Type of 1 Hospital and a Bill Class of 3 Outpatient Hospital.

Activate the Exclude Occurrence Code 28 Custom Claim Field
Go to Master Files | Custom Data Setup | Custom Fields.

Exclude Occurrence Code 28 for a Carrier
To exclude the Plan Create Date at the carrier level from institutional claims when a Facility Type is 1, and the Bill Class is 3, use the following steps for each carrier as needed.
Go to Master Files | Carriers | Carriers.

ERA Rules Master File
New Zero Dollar Line Item Custom Rule
We have added a new custom rule for $0 dollar line items that the payer does not consider a denial. You can now automatically hold these line items to make adjustments as needed.

The rule is called:
#9 – $0 payment on a line item which the payor did not send in a denial status. Create rules for process ok and next action for zero payments that are not considered a denial.

Go to Master Files | Payment | ERA Rules.

Example:
A claim with a $0 dollar payment was received from Blue Cross with a claims status of 1 (primary payment) and a reason code of CO197. The reason code is considered by the practice to be a denial, but Blue Cross does not consider reason code CO197 to be a denial. The practice should create a rule for #9 with the Payment Reason Code CO197, Carrier Blue Cross, set Mark as OK process item to Yes, and Next Action Default to Hold. This rule will hold the item so it can be adjusted and resubmitted if needed.

Unbilled Claims Report
CORF Claims Held Unbilled Edit
We have added a new unbilled edit to the Unbilled Claims report to help you quickly identify held CORF claims that will be billed in the next month.

The new unbilled edit is called:

CORF claims held for next month. No action required. Claims will be included in the next monthly CORF billing.

Note: The new CORF claims held for next month unbilled edit displays on the Unbilled Claims report. It does not display in the Unbilled Tab on the Claims Center.

Go to Reports | Carrier | Unbilled Claims.

Collections (PM)

We have enhanced the Force to Worklist functionality in Collections. Now, when you select Force to Worklist on a collections item, a Remove Forced
Worklist check box displays on screen indicating that this collection item was forced to the new worklist.

Once an action is submitted on the forced worklist item, the item is automatically moved to the Recalculate Worklists bucket and the Remove Forced Worklist check box no longer displays.

To keep the forced item in the current worklist, a user can clear the Remove Forced Worklist check box prior to taking action on the new item. The item remains in the current worklist until the Remove Forced Worklist check box is reselected.
Go to Modules | A/R Control Center | Collections.

HealthWatcher Templates (EHR)

For better control of Patient Health Information and to meet compliance requirements, we have added a User Role setting for HealthWatcher Templates. Use the new User Role drop-down to select a single role that can view the selected HealthWatcher template’s alerts. All user roles not selected cannot view the template’s alerts. Previously, all user roles could view all HealthWatcher template alerts.
Go to Admin | HealthWatcher | HW Templates.

Setup
The user roles displayed in the drop-down are set up in PM | Utilities | User Setup.

User Setup (PM)

You can now restrict users from accessing PM, by assigning the EHR Only check box in User Setup.
Go to Utilities | User Setup.

Notes:

  • In order to restrict a user’s access to EHR only, the user must have the EHR / eRx User check box selected in User Setup.
  • This EHR Only restriction applies to all points of entry (main login and switching office keys).
