Create Group Appointments and Session Notes

You can now schedule group appointments in the mobile app Scheduler, and add group session notes. Group appointments and group session notes created in the mobile app also display in PM and EHR.

In group appointments you can:

  • Schedule individual or recurring group appointments.
  • Add and edit group session notes.
  • Designate a patient as non-billable in a family group appointment.

Add a Group Appointment

  1. Tap and hold a time on the schedule, and then tap New Group Appointment. The Group Appointment screen displays with the Details tab open.
  2. Enter any necessary information about the appointment.
  3. Tap Patients to open the Patients tab where you add a patient.
  4. Tap Add Patient to open the patient search and select a patient to add. A Patient Memo is displayed for each patient added.
  5. Tap OK to dismiss the patient memo and return to the Patients tab.
  6. When all patients have been added, tap Save.

Remove Patients from a Group Appointment

There are two ways to remove a patient from a group appointment:

  • Edit the appointment.
  • Swipe the patient.

Edit the Appointment

  1. Tap a group appointment to open the appointment card.
  2. Tap Edit to open the appointment details.
  3. Tap Patients.
  4. Tap Edit.
  5. Tap the discard icon next to the patient you want to remove.
  6. Tap Delete and tap Done.

Swipe the Patient

  1. Tap a group appointment to open the appointment card.
  2. Tap Edit to open the appointment details.
  3. Tap Patients.
  4. Swipe the patient you want to remove to the left, and tap Delete.

Add a Recurring Group Appointment

  1. Start a group appointment and tap Recurrence. The Recurrence screen opens.
  2. Enter any needed information and tap Done. The recurrence window closes.
  3. Tap Save. If any conflicts are detected, the Conflicts window opens.
  4. Tap Cancel to make any necessary changes, or tap Save Anyway to save the appointment with the conflicts.

Group Session Notes

You can add a Group Session Note to the group appointment.

  1. Tap a group appointment to open the appointment card.
  2. Tap Edit to open the appointment details.
    1. Tap Group Session Notes to open the Group Note screen. One or more of the patients must be checked in before you can enter information in the Group Note.
      Select the check box next to a patient name to check the patient in.
  3. Add information as needed.
  4. Tap Save Draft if you want to edit the note later in the appointment, or Finalize to complete the note in the appointment.
    When you tap Finalize, the following happens:
    • The group session note is saved in the appointment and cannot be edited.
    • The group session note is saved as a patient note in the charts of all of the patients who were scheduled in the group appointment and were checked in. Once the patient note is saved to a patient chart it is no longer linked to the other patients and can be individually edited. The patient note is named Scheduler- Group-Note.

    Includes information on new Dashboard items: inbound CIE donut, patient viewable icon, and priority filter drop-down.
  • Manually Adding a Carrier for Professional Billing
    Includes new Financial Class field in the Carriers master file.
  • User Management
    Added that email can be used as login if it is assigned to User in User Management.
