Online Scheduling (PM/Patient Portal)
The new Online Scheduling (OLS) feature, part of the AdvancedPatient® Pro suite, gives your patients the ability to schedule visits. You are in control of the appointment times, types, providers, and locations that can be scheduled, and the visits are fully integrated with the Scheduler. You can use OLS with recurring holds on a repeating schedule, or set up a hold for one-time use, such as filling an empty space in your schedule.
Existing patients have access to OLS through the patient portal. When they access the OLS link, they indicate that they are existing patients and are taken to the portal login page.
Together with the AdvancedTelemedicine® feature, OLS gives you a way to bring in new patients via a web address you provide in marketing campaigns, on your practice’s website, via your Facebook® page, or other means. Online Scheduling, Telemedicine, Patient Messaging, and the Scheduler work seamlessly together so you can manage patient self-scheduling.
The feature will be rolled out in stages over the next several weeks.
How It Works
After purchasing and setting up OLS, provide your patients with the web link to the scheduling web page for your practice. This link is:
https://patientportal.advancedmd.com/[Your Office Key]/onlinescheduling/
Set up OLS by selecting appointment types and entering other settings in the Online Scheduling Setup master file.
Note: You must have the Role Setup | Master Files – Appointment Scheduler | Online Scheduling privilege to view and edit the OLS master file.
Patient View
Existing patients will first log in to the Patient Portal and then complete the OLS pages.
New patients will first have to accept the the Terms and Conditions, then complete the OLS pages, and before the appointment confirmation will enter their demographic information so that they can be added as a new patient.
A patient scheduling an appointment completes these four pages.
- Select an Appointment Type
- Select a Location and Provider
- Select a Day and Time
- Confirm Appointment Request
Online Scheduling Patient Resolution
All persons who identify themselves as existing patients schedule appointments through the Patient Portal and the appointment is assigned to that existing patient.
When people identify themselves as new patients and request an appointment in OLS, the demographics information they enter is displayed in the OLS Resolution Module.
These appointments display in the Scheduler with a red icon indicating that you need to resolve the demographic information to prevent duplicates and determine if you will accept or decline the new patient.
Click the red icon to open the OLS Patient Resolution module.
If you are able to identify the patient as an existing patient that has use OLS but not through the Patient Portal, accept the appointment.
If the person is a new patient, create a new patient record in the OLS Resolution Module, and accept the appointment.
If the person is a new patient that you do not want to accept, decline the appointment request.
